Who we are

Fortivo is a business intelligence platform operated by Landmark Business Solutions Inc.("Landmark," "we," "us") that helps business owners make stronger decisions with confidence. Fortivo connects to your financial data — starting with QuickBooks Online — to help you understand cash flow, profitability, receivables, payables, and financial trends. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information we collect

• Account information you provide when you sign up: your name, email address, company name, and a securely hashed password.
• QuickBooks Online data— but only after you explicitly connect your QuickBooks Online account and authorize access through Intuit's own OAuth consent screen. We never see or ask for your QuickBooks username or password. Once authorized, we sync accounting data such as your chart of accounts, customers, vendors, invoices, bills, payments, transactions, and profit & loss / balance sheet report data.
• Usage information, such as questions you ask the AI assistant and records of when the app syncs or is accessed, used for security auditing and to improve reliability.

How we access your QuickBooks data

We only access your QuickBooks Online data after you authorize the connection through Intuit's OAuth authorization flow. You control this authorization at all times, and you can revoke it whenever you choose (see "Disconnecting QuickBooks" below).

How we use your information

We use the data described above to:

• Display a dashboard summarizing your business's financial position.
• Generate AI-assisted, decision-support answers to questions you ask about your business's finances.
• Let your accounting staff (if any) record review notes on data quality.
• Maintain security audit logs and keep the service reliable.

We do not sell your data, and we do not use your financial data to advertise to you or to third parties.

How we protect your data

QuickBooks OAuth tokens are encrypted at rest using AES-256-GCM before being stored. Access to your company's data within Fortivo is restricted to authenticated users who belong to your company account. No system is perfectly secure, and we cannot guarantee absolute security — but we take reasonable, industry-standard steps to protect your information and continue to invest in strengthening them.

Data retention

Synced QuickBooks data (such as transactions and account balances) may remain stored in our system even after you disconnect QuickBooks — disconnecting stops future syncing and revokes our access at Intuit, but does not automatically erase previously synced data. If you would like your stored data deleted, contact us at jerry@landmark-business.com and we will delete it upon request.

Third parties

We use Intuit's QuickBooks Online API as the source of your accounting data, and an AI language model provider to generate decision-support answers from that data. These providers process data on our behalf under their own security and privacy commitments; we do not permit them to use your data to train models for other customers.

Disconnecting QuickBooks

You can disconnect QuickBooks at any time from inside Fortivo (Settings → QuickBooks → Disconnect), or directly from your QuickBooks Online account. See our Disconnect Instructions page for step-by-step guidance.

Children's privacy

Fortivo is a business tool intended for business owners and their staff. It is not directed at, and we do not knowingly collect information from, children.

Changes to this policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above when we do.
